Privacy Policy – Speed to Quote® Carrier Rate Portal

Nov 6, 2026 ·

1. Introduction and Scope

S2Q Systems, LLC, an Ohio limited liability company ("S2Q," "we," "us"), operates the Speed to Quote® Carrier Rate Portal (the "Portal"). Through the Portal, companies that use S2Q's software to source transportation capacity, such as freight brokers, third-party and fourth-party logistics providers (3PLs and 4PLs), shippers and carriers (each a "Customer") send lanes to third-party carriers and invite them to submit rates. This Privacy Policy explains how we collect, use, share and protect information when you ("you" or the "Carrier") access the Portal through a link sent to you by or on behalf of a Customer.

This Policy applies only to the Portal. It does not cover the Customer's own handling of your information, which is governed by the Customer's policies and its agreements with you. This Policy is part of, and should be read together with, the Terms of Service for External Users. By checking the acceptance box and using the Portal, you acknowledge that you have read this Policy.

2. Our Role

The Customer that sent you the link controls the rate request and the information you submit in response to it. S2Q provides the Portal to the Customer as a software service provider and processes that information on the Customer's behalf and under its instructions. The Customer is responsible for its own collection and use of your information, including having any authorization or consent required to share your contact information with S2Q.

S2Q acts on its own behalf only for (a) technical and usage data about the Portal, (b) aggregated and de-identified data described in Section 5, and (c) information you provide if you choose to contact S2Q about its products.

3. Information We Collect

Information provided by the Customer. To send you a rate request, the Customer provides us with business contact and identification details, such as your company name, contact name, email address, phone number, MC and USDOT numbers, and the lanes and bid parameters it wants priced.

Information you submit. Through the Portal you may submit:

•         Rates, in the format the Customer requests (for example flat, per-mile, all-in or linehaul)

•         Volume or capacity commitments for each lane

•         Comments or notes on each lane

(together with the Customer-provided information, "Submission Data").

Information collected automatically. When you use the Portal, we automatically collect technical data, including your IP address, browser and device type, the date and time of access, the pages and actions you take, and a record of your acceptance of the Terms of Service for External Users and this Policy ("Technical Data"). We collect some of this through cookies, as described in Section 8.

Information you give us directly. If you click "See S2Q in Action" or otherwise contact S2Q, we collect the information you provide, such as your name, company, email address, phone number and message.

The Portal is designed for business information. Do not submit Social Security numbers, bank or payment card numbers, government ID numbers, health information or other sensitive personal information through the Portal.

4. How We Use Information

We use the information described above to:

•         Provide and operate the Portal, including validating your secure link and displaying the Customer's rate request

•         Deliver your Submission Data to the Customer that requested it

•         Send rate request invitations, reminders and notifications on the Customer's behalf

•         Record your acceptance of the Terms of Service for External Users and this Policy

•         Provide support and respond to your inquiries

•         Maintain the security and integrity of the Portal and prevent fraud, misuse and unauthorized access

•         Maintain, analyze and improve the Portal and S2Q's software

•         Create aggregated and de-identified data, as described in Section 5

•         Contact you about S2Q's products, only as described in Section 7

•         Comply with law, enforce our terms, and protect the rights and property of S2Q, our Customers and others

5. Aggregated and De-identified Data

S2Q may combine Submission Data and Technical Data with data from other sources and remove information that identifies you, your company or the Customer, to create aggregated and de-identified data ("Aggregated Data"). Examples include market rate ranges by lane, region, equipment type or time period.

Aggregated Data is the sole property of S2Q. S2Q may use it for any lawful purpose, including:

•         Market rate benchmarks, analytics and reporting

•         Developing, improving and offering S2Q products and features

•         Training and improving S2Q's analytical, machine learning and artificial intelligence models

Aggregated Data will not identify you, your company or any Customer. S2Q will not attempt to re-identify it, and will apply reasonable safeguards, such as combining data from multiple sources, before including it in any report or feature available to others.

6. How We Share Information

S2Q does not sell your Submission Data or personal information. Your Submission Data is shared only with the Customer that sent you the link. It is not shared with other Customers or other carriers. We share information only as follows:

•         With the requesting Customer, who receives your Submission Data, including your lane comments, and may use it under its own policies and agreements with you. Messages you send to the Customer contact shown in the Portal go to the Customer; where that contact's email is hosted or routed by S2Q, S2Q may process those messages on the Customer's behalf

•         With service providers that support the Portal under confidentiality obligations, including Amazon Web Services (hosting and storage) and Mailgun (email delivery)

•         Through the Customer's email system. If the Customer has connected its own email account (such as Microsoft Outlook) to S2Q, invitations are sent through that account, and the email provider's terms and privacy practices apply to those messages

•         For legal reasons, when we believe in good faith that disclosure is required by law, subpoena or court order, or is needed to protect the rights, property or safety of S2Q, our Customers or others

•         In a business transaction, such as a merger, acquisition, financing, or sale of all or part of S2Q's business or assets, in which case information may be transferred to the successor or acquirer subject to this Policy

•         With your consent or at your direction

We may share Aggregated Data without restriction, as described in Section 5.

7. Marketing

The Portal displays information about S2Q's own products. S2Q will not use contact information received from a Customer's rate request to market to you. S2Q will contact you about its products only if you click "See S2Q in Action" or otherwise contact S2Q and ask to hear from us. You may opt out of S2Q marketing at any time by using the unsubscribe link in any marketing email or by emailing Support@s2qsystems.com. Opting out does not stop service messages about rate requests you receive from Customers.

8. Cookies and Similar Technologies

The Portal uses cookies and similar technologies that are necessary to keep your session secure, validate your link and remember your progress. We may also use analytics cookies to understand how the Portal is used and to improve it. You can control cookies through your browser settings, but disabling necessary cookies may prevent the Portal from working. The Portal does not currently respond to "Do Not Track" browser signals.

9. Data Retention

We retain Submission Data while the Customer maintains its S2Q account, unless the Customer requests earlier deletion. After the Customer's account ends, we may retain Submission Data for as long as reasonably necessary for the purposes described in this Policy, including legal, audit, security and business purposes, unless the Customer requests its deletion. We retain Technical Data, including acceptance records, as long as reasonably needed for security, legal, audit and dispute-resolution purposes. Deleted data may remain in backups for a limited period before it is overwritten. Aggregated Data may be retained indefinitely.

10. Security

S2Q maintains commercially reasonable administrative, physical and technical safeguards, consistent with industry standards, designed to protect information processed through the Portal. Your Portal link is unique to you and works like a password: do not forward or share it. Anyone who has the link may be able to view the rate request and submit or change rates on your behalf. Notify the Customer or S2Q promptly if you believe your link has been shared or misused.

No method of transmission or storage is completely secure, and S2Q cannot guarantee absolute security. S2Q is not responsible for unauthorized access resulting from your sharing of your link, the compromise of your own devices or email accounts, or events beyond S2Q's reasonable control.

If S2Q becomes aware of a security breach affecting your personal information, we will notify you, the affected Customer and the appropriate authorities as required by applicable law.

11. International Users

S2Q is based in the United States, and information processed through the Portal is stored and processed in the United States by S2Q and its service providers. If you access the Portal from Canada, Mexico or elsewhere outside the United States, your information will be transferred to, stored and processed in the United States. U.S. privacy laws may differ from those in your country, and information stored in the United States may be accessible to U.S. courts, law enforcement and national security authorities under U.S. law.

Canada. We handle personal information of Canadian users in accordance with applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA). You may request access to, or correction of, your personal information, and ask questions about our use of service providers outside Canada, by contacting us as described in Section 13.

Mexico. Users in Mexico may exercise their rights of access, rectification, cancellation and opposition (ARCO rights) under applicable Mexican data protection law by contacting us as described in Section 13.

By using the Portal, you acknowledge the transfer of your information to the United States as described in this Policy.

12. Your Choices and Rights

Because the Customer controls your Submission Data, requests to access, correct or delete Submission Data should be directed first to the Customer that sent you the link. If you contact S2Q instead, we will refer your request to the Customer and assist the Customer in responding as required by law.

For Technical Data or information you gave S2Q directly, you may contact us as described in Section 13. Depending on where you are located, you may have rights to access, correct or delete your personal information, or to object to certain uses. We will verify your identity before responding and will respond as required by applicable law. We will not discriminate against you for exercising your rights.

13. Other Terms and Contact Us

Children. The Portal is intended for business use and is not directed to anyone under 18. We do not knowingly collect information from children.

Changes to this Policy. We may update this Policy from time to time. We will post the updated Policy with a new effective date. For material changes, we may ask you to accept the updated Policy before your next use of the Portal. Your continued use of the Portal after an update means you accept the updated Policy.
